Decide what to build before you build it

We map how your business actually runs, then tell you which parts to fix with software, which to buy off the shelf and which to leave alone.

What arrives
  • A process map of how work moves today, drawn from interviews rather than assumptions
  • A written list of problems ranked by what each one costs you in hours
  • A build, buy or leave-it recommendation for every system in scope
  • A 12-month roadmap with sequencing and the dependencies between items

Who this is for

Three profiles. If none of them is recognisably you, this is probably the wrong page - and the line below is the one worth reading before you book anything.

Not a fit: Do not hire us for fundraising decks, market-entry studies or org restructuring; we advise on process and software, and those are different trades.

A tangle on the left, four owned services on the right. The arrow is the engagement.

Operations director at a company running on spreadsheets

3 teams keep separate records of the same orders, and month-end reconciliation now takes a full week.

Founder choosing between building a platform and buying one

2 vendors quoted wildly different scopes, and nobody internally can say which one matches the actual workflow.

Managing director of a family business handing over to the next generation

Critical process knowledge sits with 2 long-serving staff, and none of it is written down anywhere.

What you get

  • A process map of how work moves today, drawn from interviews rather than assumptions
  • A written list of problems ranked by what each one costs you in hours
  • A build, buy or leave-it recommendation for every system in scope
  • A 12-month roadmap with sequencing and the dependencies between items
  • Vendor shortlists, with the questions to ask each one
  • A requirements document any developer or vendor can quote from
  • A readout session with your leadership team, plus the written deck behind it

What we build it with

  • Miro
  • Notion
  • Jira
  • Airtable
  • Metabase
  • Power BI
  • Zapier

Chosen per project, not per fashion. If your team already runs something else and it works, we use that.

How the work runs

  1. 1

    Scoping call

We agree what is in scope, who we can interview, and which decision this work has to support.

From you: One sentence on the decision you are stuck on, and 5 people we may interview.

    2-3 days
  2. 2

    Interviews

We talk to the people doing the work, 45 minutes each, and watch the real system in use.

From you: Calendar time from frontline staff, and read access to the tools they use daily.

    1-2 weeks
  3. 3

    Process map

We draw the current workflow end to end, mark the handoffs that break, and count the delay in hours.

From you: Corrections on the draft map from someone who knows the exceptions by heart.

    1 week
  4. 4

    Recommendation

We set out what to build, what to buy and what to stop doing, each with a named owner.

From you: An honest view of your budget range and appetite, so the advice stays usable.

    1 week
  5. 5

    Readout

We present findings to your leadership, take the hard questions live, and hand over every document that day.

From you: 90 minutes with the people who can actually approve the next step.

    1 day

How we work together

Fixed project

Scope and price agreed up front. Best when the outcome is known and the deadline is real.

Dedicated team

A named team for a quarter or more. Best when the roadmap will change and you want the context kept.

Staff augmentation

Engineers inside your process and your tools. Best when you have the lead and need the hands.

Questions we get asked

No. Plenty of our recommendations end with buying an off-the-shelf tool, or with changing a process and writing no code at all. We put that in writing, including when the honest answer is that nothing needs building this year. You can take the roadmap to any vendor.

4 to 6 weeks for a single department, and longer when several functions are in scope. The interview stage sets the pace, because it depends on your team's calendars. We can compress it to 3 weeks when the scope is one process and the people are available.

Tell us during the draft review, which exists for exactly that. We show the map and the ranked problems before the final readout, so disagreements surface while they are still easy to settle. If we still differ, the document records both views and the evidence behind each.

Yes, and you are under no obligation to use us. The requirements document is written so any competent team can quote from it. Clients who continue with us skip a discovery phase, because the process map and requirements already exist. Clients who go elsewhere still own every document.

Yes. Most interviews happen over video, and we overlap with US and European hours by shifting our day. Workshops run in the client's time zone. For a process that has to be watched in person, such as a warehouse or a clinic, we plan a site visit into the schedule.
